Fayetteville, AR1. Attendance: Officers present were Mike Armstrong, President; John Mitchell, Secretary/Treasurer and Tom Aspel, Membership. Jamie Chandler, Youth Chair was in attendance as was USATF member Kyle Chandler 2. Minutes: Minutes of 2009 USATF-AR Annual Meeting were presented by John Mitchell. Motion to accept and seconded; all approved.
3. Financial Report: John Mitchell gave the financial report and presented the FYE 9-30-10 Financial Statement which included a balance sheet and income statement. Total assets at Bank of the Ozarks were $17,530.56. Annual Revenues were $5,993.54 with Net Income of ($513.97). Association revenue from individual memberships is down for the same period $475.83.
4. Reports: Mike Armstrong reported the Arkansas Association is approved for Provisional Accreditation status for the 2009-2010 accreditation period. The “2009 Association Accreditation Statistics and Reports” was reviewed reflecting our Association met 5 of 9 Required Standards and 5 of 9 Other Standards. In 2008 our Association met 5 of 10 Required Standards and 4 of 9 Other Standards. To achieve full accreditation status, an association must meet all 9 Required Standards and 6 of 9 Other Standards. Thirty-five of the fifty-seven associations met the requirements for full accreditation in 2009.
Tom Aspel, Membership Chair, reported current membership is currently 242. This is a decrease from the 257 members this time last year. The USATF Minimum Standard for Arkansas is 600 members.
John Mitchell reported events sanctioned so far this year are 18, compared to 15 for the same period in 2009. With two and a half months remaining in the calendar year, sanctioned events are projected to be 22. The USATF Minimum Standard for Arkansas is 20 sanctions.
Jamie Chandler, Youth Chair, reported since our last annual meeting, two Youth Association Championships have been held. On November 14, 2009 an Arkansas Association Junior Olympic Cross Country Championship was held on the campus of Arkansas Tech in Russellville. On June 19, 2010 an Assoc. JO Track & Field Championship was held at Hendrix College in Conway. The 2010 Assoc. JO Cross Country Championship is tentatively scheduled for November 13 in Rogers.
Tom Aspel reported an AR Assoc. Masters Track & Field Championship was held in conjunction with the JO T&F Championships on June 19. A 5K Masters Cross Country Championship is scheduled for November 27 in Russellville.
John Mitchell reported the Arkansas Association has 6 Organizational Club Members for 2010 represented by Bell Athletics, Club Arkansas, Arkansas Vault Club, Little Rock Road Runners, Pole Vault Unlimited and DLT Events Inc. The USATF Minimum Standard is 16.
5. Amendments: John Mitchell made a motion to amend our bylaws regarding (1) voting membership deadline, (2) fiscal year and (3) athlete association membership changes. These amendments reflect changes made at the 2009 USATF Annual Meeting. Motion to accept and seconded; all approved.
6. Other Business: Mike Armstrong reviewed the need for the Arkansas Association to be represented at the USATF annual meeting this December in Virginia Beach, VA. John Mitchell made a motion that Mike select a delegation of two board members in addition to himself to attend the meeting. The motion was seconded; all approved.
